Getting Started for Administrators

Welcome aboard — this walkthrough takes your school from **zero to a fully

digital campus** in about fifteen minutes.

1. Register your school

Open the Enter Portal button in the navigation bar and switch to the

*School (Admin)* registration track. Fill in your institution's legal name,

address and your admin profile, then submit.

You will need two registration details:

Enter your school's registered CAC RC number.
A single-use Zodmox registration code (format ZDX-REG-XXXX-XXXX),

issued by Zodmox after first contact. Each code registers exactly one

school and can never be reused.

is granted instantly; the paid plan activates the moment you register.

Your address, logo, motto and contact details are required at this

step — the moment they are uploaded, your branding replaces the default

Zodmox look across every portal, receipt and report card your school

prints.

The registry instantly mints a unique School ID code for your school.
Keep this code safe — it is the single key every student, teacher, parent

and bursary account will use to verify membership.

The code is always visible in your Admin → School Settings panel.

2. Share the School ID

Tip: print the code on your notice board and include it in the PTA
welcome letter — every stakeholder needs it exactly once, at sign-up.

Distribute the code to:

Teachers — they select the *Teacher* track and enter the code.
Students — the *Student* track verifies the code plus class placement.
Parents — the *Parent* track links a guardian to their child's record.
Bursary staff — finance workspace access, scoped to fees only.

3. Onboard staff

From the admin dashboard, open People Manager → Invite. Each teacher gets

a subject load and a class arm (e.g. *SSS 1A Mathematics*). Rights are

role-scoped: teachers see only their own students' gradebooks. Staff

created without a password receive a strong temporary password — the

console shows it once so you can relay it to the owner.

4. Set up classes & sessions

Create your arms: JSS 1 – SSS 3, with stream labels if you run

science/arts/commercial splits.

Publish the weekly timetable: Timetable → Save Timetable. Only system

admins can create or modify it — teachers see a view-only copy (their own

subjects highlighted) and the Student Portal Attendance & Timetable views

mirror every save instantly. Auto-fill picks only subjects that belong

to that class level (JSS classes never receive SSS subjects) and never

double-books a teacher; if you place a teacher in two classes at the same

period by hand, the clashing cell turns red with the teacher's name.

Define the academic session and terms (First, Second, Third).
Set the CA + exam weighting to any values that total exactly

100% (the classic Nigerian structure is 40/60). Gradebooks, report

cards and analytics all follow these numbers — and you can switch the

active term whenever a new term begins. Both live in **Console &

Config**.

At session rollover, open People Manager → Promotions: every arm is

listed with its pupils in name order, and one click lifts the whole arm

to the next grade — or graduates the final year.

5. Password resets

Every login page carries a Reset password entry. Staff and student

requests land in Admin → Password Resets — triggering one mints a

strong temporary password to share with the owner.

Administrators reset their own passwords self-serve from the Enter

Portal panel, in three steps:

Find — enter your School ID or registered admin email.
Verify — follow the one-time verification instructions shown by the

platform. Verification details expire and repeated failed attempts are limited.

Set — choose a strong new password. It works immediately.

After every self-serve reset, Admin → Password Resets shows a

“Was this you?” security notice. Confirm the reset or flag it for

administrator review.

6. Free trial, plans & payment

Every new school starts on a 7-day free trial with full access, so you

can explore the whole platform first. The trial is a ₦0 checkout at

enrollment — nothing is charged, no card is needed, and your registration

code is issued instantly. Before the trial ends, open

Admin → Billing & Subscription and pay for a plan — otherwise the

workspace locks (billing-only) until payment lands. Nothing is ever

deleted; payment reopens everything instantly.

A free trial carries no grace period: grace is a courtesy on paid terms

only. When the trial lapses, access goes straight to billing-only.

01 · Parties & acceptance

These terms are between Zodmox Academy Ltd (RC 3063473)(“Zodmox”, “we”) and the school or institution registering on academy.zodmox.com.ng (“the School”, “you”). By registering a school, or by logging into any portal, you accept these terms. The registering administrator accepts them on the School's behalf and confirms they are authorised to do so.

02 · The service

Zodmox provides a hosted school-management platform with five portals — Admin, Teacher, Student, Parent and Bursary — covering admissions, attendance, examinations, gradebooks, fees, messaging and reporting. We use commercially reasonable efforts to keep the service available, and may schedule maintenance (usually at night WAT) with notice inside the product. New schools receive a 7-day free trial at no charge (a ₦0 checkout at enrollment; no card and no transfer is required) with full access; the workspace locks (billing only — nothing is deleted) if no plan is paid before the trial ends. Grace periods apply to paid terms only — a free trial carries no grace period.

03 · School accounts & responsibilities

Enter your school's registered CAC RC number and keep all registration details current. The School is responsible for safeguarding its School ID code, admin credentials and every staff, student and parent account created under its code — including approving parent-child links and managing password resets. Zodmox is not liable for errors in data the School or its users enter (scores, attendance, fees); correction tools are provided in-product.

04 · Acceptable use

You agree not to misuse the platform: no unlawful or abusive content, no sharing of accounts outside the School, no attempts to breach, scrape or disrupt the service, and no uploading of material you have no right to use. Abusive language in messaging is filtered automatically; serious or repeated violations may lead to account suspension or termination after notice, with fees handled under section 06.

05 · Fees, billing & subscription

One subscription covers the entire School — there are no per-student charges. Plans (First Term, Second Term, Session, Custom) are priced in Naira on the Pricing page; the School always pays before each period begins, and nothing is ever charged automatically. Every expiry carries a 7-day grace period. Invoices and receipts are issued in-product for every payment; fee collections from parents are confirmed by the School's own Bursary before reflecting on portals.

06 · Refund policy

7-day window

Full refund within 7 days of payment, provided the plan has not been activated or materially used.

Always refunded

Duplicate charges, erroneous debits and any plan we fail to provision are refunded in full, any time.

How to ask

Email zodmox@gmail.com with your school name, school code and receipt — paid back within 5–10 business days.

(a) A subscription payment is refundable in full if requested within 7 days of payment and the plan has not been activated or materially used. (b) Duplicate charges, erroneous debits and any plan we fail to provision are refunded in full at any time. (c) Once a plan is activated and used beyond the 7-day window, fees are non-refundable except where we verify a failure to provide the service. (d) Custom plans are refunded case-by-case on the terms agreed in writing. To request a refund, email zodmox@gmail.com with your school name, school code and receipt; approved refunds return via the original payment method within 5–10 business days.

07 · Data & privacy

How we handle school data is set out in our Privacy Policy, which forms part of these terms: the School is the data controller of its learners' records and Zodmox acts as data processor under its instruction, in line with the Nigeria Data Protection Act 2023. By using the service you confirm your School has the necessary consents (including parental consent for learners' data) to process the records it uploads.

08 · Liability, governing law & contact

To the maximum extent permitted by law, Zodmox's total liability under these terms is limited to the subscription fees the School paid in the 12 months before the claim. We are not liable for indirect losses or for the accuracy of school-entered data. These terms are governed by the laws of Lagos State, Nigeria. Questions: zodmox@gmail.com. We may update these terms with at least 14 days' notice in-product; continued use after that date means acceptance.
